Privacy Policy

MailMind is built with privacy as a core principle. We do not store your email content. We do not sell your data. We do not share your information with third parties beyond what is necessary to provide the service.

1. What MailMind Does

MailMind is a Chrome extension that analyzes Gmail emails using AI to extract actionable information such as due dates, required actions, and priority levels. The extension operates within your Gmail interface and does not replace or redirect your email.

2. Data We Access

When you use MailMind, the extension accesses the following data:

Email subject, sender, and body text of emails you choose to scan
Your Google account email address (for identification purposes)
Gmail inbox metadata when using the bulk scan feature

3. How Your Data Is Used

Email content is sent to our secure backend server solely for AI analysis. The text is processed by Anthropic's Claude AI model and immediately discarded — it is never stored on our servers.

The following information is stored in our database:

AI analysis results (email type, title, summary, priority, due date)
Your Google user ID (anonymized identifier)
Timestamp of the scan

We do not store the full text of your emails.

4. Third-Party Services

MailMind uses the following third-party services:

Anthropic (Claude AI) — email text is sent for analysis. Anthropic's privacy policy applies: anthropic.com/privacy
Supabase — stores anonymized scan results. Supabase's privacy policy applies: supabase.com/privacy
Google OAuth — used for authentication only

5. Data Storage & Security

Analysis results are stored in a secure database hosted in the EU (Frankfurt, Germany). Your API credentials and authentication tokens are stored locally on your device and never transmitted to our servers.

6. Data Retention

Scan results are retained until you choose to delete them. You can request deletion of all your data by contacting us at the email below.

7. Your Rights (GDPR)

If you are located in the European Union, you have the following rights under GDPR:

Right to access your personal data
Right to rectification of inaccurate data
Right to erasure ("right to be forgotten")
Right to data portability
Right to object to processing

8. Children's Privacy

MailMind is not intended for use by children under the age of 13. We do not knowingly collect data from children.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify users of significant changes via the extension or our website. Continued use of MailMind after changes constitutes acceptance of the updated policy.
